Full-time Exempt Position

 

Leadership Team assistance

Assist the CEO and leadership team in administrative functions, critical projects, coordination, meeting planning and management

Board Assistance and Coordination

Coordinate board meetings and committee meetings, take minutes, lead on all communications with board, keep all board records up to date, and stay on top of major topics of importance

Business/office management

Maintain sufficient amount of office supplies, manage facility projects and keep kitchen sufficiently stocked for visitors, act as primary liaison to ministry staff for office needs. Set up lunch and details for meetings. Open checks and prepare deposits on a daily basis. Lead in managing office vendor relationships including IT, maintenance, video conferencing, etc. This person will be cross trained in all operating and development functions and will lead the team in developing written procedures for each function

Development functions

Input data and donor information and assist development department with constituent relationship management. Create reports from Impact and Stats for grant purposes

Hospitality

Make guests feel cared for and welcomed by answering the door, answering phones, and managing welcome screen

Staff training, conferences coordination

Sign up staff for conferences/training, book hotels, coordinate conference registration for staff and guests, and keep up to date lists on staff credentialing

Building and tenant management

Manage building issues, building projects, and tenants at our main office and two additional buildings

Calendar management

Keep master calendar updated with events, conferences, etc. Assist in coordinating meetings by comparing individual calendars for teams

Asset management

Manage maintenance, check-in, and check-out of vehicles, technology, and other shared supplies

Filing projects & confidential material management

Assist Finance Director and others with file management

Staff tracking (stats, Impact, prayer, staff attendance, etc.)

Track Stats sheets submitted weekly and review weekly schedules, as well as record Impact monthly reports, prayer communications and staff attendance

Miscellaneous administrative functions

Lead and perform other administrative or operating functions as needed
